How to Manage Fields Uploaded to Email Marketing

Jonas Club Management

Adding Additional Fields

Jonas Club Management allows you to upload upto 100 different fields to the ClubHouse Online Email Marketing system. There are a total of 28 preselected fields but up to 72 additional fields can be added. The preselected fields include:

  • Email Address Type
  • Member Type
  • Member #
  • Title
  • Suffix
  • Surname
  • First Name
  • Address Line1
  • Address line2
  • Address line3
  • Address line4
  • Address line5
  • Postal/Zip Code
  • Marital Status
  • Date Joined
  • Date Resigned
  • Member Status
  • Sex
  • Activity #1 Description
  • Category #1 Description
  • Activity #2 Description
  • Category #2 Description
  • Activity #3 Description
  • Category #3 Description
  • Birthdate
  • Minimum Unspent
  • A/R Aging(61 - 90 Days)
  • A/R Aging(91+ Days)
In order to upload additional fields to the Email Marketing system you will need to follow these steps:
  1. Open your Jonas Club Management application and login with your credentials
  2. Navigate to Club Management -> Member File -> Member Import/Export -> ClubHouse Online EMM interface Profile
  3. If it is not pre-selected, select your Club Code.
  1. Click on the Fields tab
  2. From the Field Mapping Utility, scroll down until you find an empty row.
  3. Click on the magnifying glass in the empty row to bring up the available fields
  1. Type in the name of the field you are looking for to have the field list auto-complete or press CTRL+F2 on your keyboard to bring up a search
  2. Once you have located your desired field, double click on the Code to have it added to the list of mapped fields.
  3. Repeat steps 5 - 8 to add additional fields
  4. Once you are satisfied with the fields added, click on the Finalize button on the top right of th Field Mapping Utility
  5. You will be prompted to confirm the finalization of the fields you added which you will click on Yes
  6. An additional prompt will advised how many fields will be finalized which you will click on OK
  7. You will then be prompted to complete a sync which you will click on Yes
  8. Once you have completed the sync, you will need to complete an export. Click on the link for How to Run the EMM Export Utility

Removing Fields

In order to Remove Fields from the Email Marketing and from the Export Utility, you will need to follow these steps:

  1. Login to the Clubhouse Online and navigate to the Email Marketing system.
  2. Click on the Contacts menu item.
  3. Click on the Fields tab
  4. Click on the field you wish to remove and click on Delete.
  1. Once you have confirmed the deletion, log into Jonas Club Management.
  2. Navigate to Club Management -> Member File -> Member Import\Export -> ClubHouse Online EMM Interface Profile
  3. Select your Club Code if it is not already selected.
  4. Click on the Sync menu item.
  5. Once you have completed the sync, you will need to complete an eport. Click on the link for How to Run the EMM Export Utility
  6. Once the export has completed, navigate to the ClubHouse Online EMM Interface Profile
  7. Click on the Fields menu item
  1. The field you deleted in the Email Marketing system, should now be different color than all the other fields.
  2. Click on the field in question so that its code is highlighted and click Delete at the bottom.
  3. Click OK on the bottom once complete.

CSG Club Select

The Field Mapping utility does not permit the addition and removal of fields at this time.

The Field Mapping Utility does not permit the addition and removal of fields at this time.

Encore

Adding Additional Fields

Encore allows you to add up to 45 General fields and 9 Calculated fields to be uploaded to the Email Marketing System. The General fields that are available for Upload are as follows:

  • Member Number
  • Last Name
  • First Name
  • Middle Name
  • Familiar Name
  • Title
  • Name(1st,Last)
  • Name(Familiar,Last)
  • Name(Title,1st Last)
  • Name(Last,1st)
  • Suffix

The Calculated fields that are available for upload to the Email Marketing system represent the Statement Aging Buckets in Encore. The Aging buckets that are available for upload are as follows:

  • Internal Aging:Current
  • Internal Aging: 30 Days - Late Letter
  • Internal Aging: 60 Days - Suspension
  • Internal Aging: Cancellation
  • Internal Aging: Collection & Bad Debt
  • Statement Aging: Current
  • Statement Aging: 30 Days
  • Statement Aging: 60 Days
  • Statement Aging: 90+ Days

All Custom fields that you have created in Encore will be available to be uploaded to the Email Marketing system. In order to upload additional fields to the Email Marketing system, you will need to follow these steps:

  1. From within Encore, select the Modules tab on the far left.
  2. Under the System Administration menu, double-click on the Integrations menu item.
  1. From the available System Integrations list, select CHO EMM
  2. After Selecting CHO EMM, select the ClubHouse Online Email Marketing tab
  3. Under the General Settings tab, click on the Setup ClubHouse Online Email Marketing Fileds button
  1. From the ClubHouse Online Email Marketing Fields Settings window, select the field you wish to add from either General, Custom or Calculated fields section.
Note: The fields that appear with a purple background, have already been exported to the Email Marketing system.

  1. Once you have selected the field you wish to add, click on the 'green arrow' to add it to the list of fields to be exported.
  2. When you are satified with the field(s) added, click on Close.
  3. Once you are back at the System Integrations window, click on Save to complete the changes.
The export from Encore is an automatic process so the field(s) that was added will be added to the Email Marketing System automatically by EOD.

Removing Fields

In order to Remove Fields you will need to complete the following steps:

  1. Login to the Clubhouse Online and navigate to the Email Marketing system.
  2. Click on the Contacts menu item.
  3. Click on the Fields tab
  4. Click on the field you wish to remove and click on Delete.
  1. Once you have confirmed the deletion, log into Encore 
  2. From within Encore, click on the  the Modules tab on the far left.
  3. Under the System Administration menu, double-click on the Integrations menu item.
  4. After Selecting CHO EMM, select the ClubHouse Online Email Marketing tab
  5. Under the General Settings tab, click on the Setup ClubHouse Online Email Marketing Fileds button
  6. From the fields already uploaded to Email Marketing system listed on the right, select the field you deleted in the Email Marketing system.
  7. Click on the 'blue arrow' to delete the field from the list of exported fields.
  8. When you are satified with the field(s) deleted, click on Close.
  9. Once you are back at the System Integrations window, click on Save to complete the changes.
