How to Create a Lessons Employee User Accounts

Activity Management

Before an employee user account can be associated to a lessons employee in ClubHouse Online, a provider must first exist in Activity Management as a staff member. For instructions on how create a staff member, click here

Lessons Sync

A lessons sync must be run from Jonas Activity Management to populate staff members in ClubHouse Online. If your staff members already exist in ClubHouse Online, you can skip this step. In order to run a sync:

  1. Within Jonas Activity Management, navigate to Lessons Management
  2. Select Lesson Settings
  3. Within the CHO Integration tab, click Synchronize CHO Data

Creating a ClubHouse Online Employee User Account

Before a staff member can be associated with a lessons employee, an Employee user account must be created:

  1. Login into your ClubHouse Online website and Switch to Club Central
  2. Click on the Users tile 
  3. Click the New user button
  1. Enter the staff member's username, first name, last name and email address
  2. User Type: ensure this is set to Employee
  3. Click Save - this user will receive an email allowing them to set their password

Associate Employee User Account with Lessons Employee

Once an Employee user account has been created, the user must be associated to a lessons employee:

  1. Within the main Users screen, click the pencil icon beside the user's name 
  1. Within the user's edit screen, click the Associate With Lessons Employee button
  1. Click Associate beside the employee name to associate the lessons employee to their ClubHouse Online employee user account
    • If the user is not currently associated with a lessons employee, the link to the left of the employee name will read Associate
    • If, however, the employee is already associated with a ClubHouse Online user, the link will read Dissociate and the [Username] ([First Name] [Last Name]) will be displayed in the Online User Account Column (example - Matt Betts)
    • Once a user account has been associated with a lessons employee, a message will appear at the top of the user's edit screen that reads "username is currently associated with Employee x"

Remove Association for Employee User Account with Lessons Employee

If a user opts to disassociate a ClubHouse Online user with a lessons employee:

  1. Within the user's edit screen, click the Remove Association With Lessons Employee button.
  2. Click OK in the Confirmation window - this user will no longer be associated with a lessons employee.

Encore

Before an employee user account can be associated to a lessons employee in ClubHouse Online, a provider must first exist in Encore as a staff member.

Lessons Synchronization

A lessons sync must be run from Encore to populate staff members in ClubHouse Online. In order to run a sync:

  1. Within Encore, navigate to Lessons Management.
  2. Select Lesson Settings.
  3. Within the CHO Integration tab, click Synchronize CHO Data.
