Order Processing Options

The Online Ordering module accommodates 2 different options for processing and printing orders. These options include an Online Ordering Queue in which orders can be reviewed and sent to the Kitchen and the discretion of the staff. Orders Go Directly to Printers which sends orders directly to the Kitchen to be made. These two options and their requirements are outlined below.

JCM Online Ordering Queue

The Online Ordering Queue allows orders initiated online to be sent to a queue where a member of the club's staff can review the orders and send them to the Kitchen. Prior to enabling this option please ensure that the following requirements have been completed first.

Requirements

The Online Ordering Queue can be accessed from any workstation with the ability to log into Jonas Club Management. When an order is added to the Queue, an email notification can be sent to employee of the club or general mailbox accessible by employees of the club. The Online Ordering Outlet Setup menu allows for one or multiple email addresses to receive an email notification whine this occurs. This email confirmation will be sent by the club's Jonas server and in order for that to occur, the J-MAIL parameters must be configured.

J-MAIL Setup

To access the J-MAIL parameters for Online Ordering you will need to follow these steps:

  1. Navigate to the following menus within Jonas Club Management
    • System Administration -> System Setup -> J-Mail Parameters
  2. Select your Company
  3. Select the P5 Email Employee Online Ordering Form Type from the drop-down.
  4. Select the Mail Client you wish to use:
    1. P - SMTP (PVX Email) - Typical mail client setup that requires access to an SMTP server utilized by your club. Supports Authenticated use via an Username and Password.
    2. K - SMTP with SSL/TLS (ChilKat DLL) - Alternate mail client which provides all of the features of P - SMTP but also accommodates SSL and TLS encryption.
  5. Enter in the following information:
    • SMTP Server Name - The address of the mail server that is sending the Online Order Notification. As Jonas does not host any type of email services for our clients, the club must provide their own mail server. Please contact the company hosting the clubs email and/or your IT representative to obtain this information. (i.e. exchange.mailserver.com)
    • Default Subject - The Subject Line of the email notification (i.e. An Online Order has been Placed)
    • From Name - The name listed on the email notification of who the email is coming from. (i.e. Online Orders)
    • From Address - The From Email Address label that appears in the Email Message when sent to a member. This address is a label that appears in the email message, and is not necessarily the actual address the email is being sent from. However, it is still useful as a member can send a reply to this address with any questions. (i.e. noreply@yourclubsdomain.com)
Note: To ensure that e-mails are delivered successfully the following items are not suggested for use in this setup:
  • Using a From Address that utilizes a domain of hotmail.com, outlook.com, gmail.com, yahoo.com or aol.com as they will be flagged for spoofing.
  • Using the same e-mail address in From Address field that the notification will be sent to. Mail servers will also flag this as spoofing.
  1. Click on Authentication to configure the SMTP server access credentials
  2. Check off the option Password Authentication Required to enable to remaining fields
    • Enter in the Outgoing Mail Port utilized by your SMTP server. The default port is 25
    • Enter in the Login Name. Be sure to include the domain if required by your network
    • Enter in the Login Password used by the Login Name specified.
    • [Optional] if K-SMTP with SSL/TLS (ChilKat DLL) was chosen choose the type of encryption your server supports.
  3. Click OK to save the Authentication settings.

Click on the Test Email option to confirm the J-Mail parameters are correct. If you receive a success you can move on to setting up the Online Ordering Outlet Setup. If you're not able to receive a successful test email, please review your J-Mail parameters to confirm they are correct. If you've confirmed that everything is configured correctly but you're still not able to complete a successful Test Email, please contact our Support Team for assistance.

Enabling the Online Ordering Queue

In order to have the orders go to the Online Ordering Queue you will need to leave the Orders Go Directly To Printers option unchecked in the Others section of the Online Ordering - Outlet Menu Setup.

Once all the settings have been completed click on the OK button to confirm the changes.

 

Staff Notifications

Once the requirements have been completed and the Online Ordering Queue has been enabled, the Staff Notifications can be enabled. Click the button below for instructions on how to enable to the Staff Notifications.

Staff Notifications

Orders Go Directly to Printers

If you would like to have any orders made online sent directly to your kitchen or chit printers, the option must be enabled within the Online Ordering Outlet Menu Setup within the Jonas Club Management system. Prior to enabling this option please ensure that the following requirements have been completed first.

Requirements

The Online Ordering module communicates only with your club's Jonas Server and as such the server would be initiating the printing. The following requirements will be need need to be implemented on your club's Jonas Server in order for orders to be sent directly to the printers as they are received.

CHIT Printing

As mentioned all Online Orders are sent to your club's Jonas Server. As such Jonas Server must be able to print to the available Chit Printers. If you're not sure how to setup or having issues printing from the Jonas Server, please contact our Support Team in order to resolve the issue.

Windows Domain User

In order for the integration to the Online Ordering module to function correctly, we will require a Windows User Account be created with the following requirements:

  • Configured as a Domain Administrator
  • Assigned local Administrator permissions or part of the Administrators Group for the Jonas Server [or server where the Jonas Club Management files reside]
  • No Password Policy applied [or password set to not expire]

Usage Information

This Windows User Account will be utilized strictly and specifically with the Windows integration services that were previously installed on the club's server. The domain level access is required so that the integration services can communicate with any networked printers that are utilized for Point-Of-Sale and would regularly be printing chits. The local administrator permissions are necessary to access folders which reside on the club's server. These folders include:

  • /GJCWIN folder [or the folder in which the Jonas Club Management files reside]
  • /Windows/Temp folder
  • /Program Files folder
  • /Program Files (x86) folder

It is mandatory not to have a Password Policy applied to this account due to its intended usage. This account will only be used for Windows Services and as such having the password expire will immediately impact the integration with the Online Ordering module as well as any other Clubhouse Online modules. For this reason the Password Policy should not be applied or the password should be configured to never expire.

How to Implement the Windows Domain User

Once the Domain User has been created or identified, follow these steps to implement the user into the Clubhouse Online configuration. 

  1. Open up the Windows Services Console.
  2. Locate and right-click on the CHO Jonas Proxy Service.
  3. Select Properties from the context menu.
  4. From the Service Properties window, select the Log On tab.
  5. Select This account and enter in the Domain User Credentials.
  1. Click on the Apply button to save the changes
  2. Click on General tab and click on Stop to stop the service.
  3. Click on the Start button to start the service.
Note: If you run into issues with either stopping or starting the service please contact the Support Team to resolve the issue.

Confirm Integration Setup

In the requirements we had you modify a portion of the Clubhouse Online Integration setup by adding the Domain Windows User to the CHO Jonas Proxy Service. To ensure the integration with Clubhouse Online is still functioning as intended please initiate the following test:

  1. In a browser, navigate to and login on your club's Clubhouse Online website with administrative credentials.
  2. Click on the 'Club Central' or 'Switch to Club Central' link usually located at the top right of the page.
  3. From Club Central, click on the 'planet' icon in the top left corner.
  4. From the menu, select Modules and then the sub-menu item Company Management.
  5. From the Company Synchronization menu, click on the Start button next to the Configuration Sync.

If the Configuration Sync reports Successful, the integration with your Clubhouse online site is functioning as normal and you can proceed to enabling the Orders Go Directly to Printers Option.

If the Configuration Sync reports Fail with an error or never completes, the integration with your Clubhouse Online site is not functioning and you will need to engage our Support Team to investigate the issue.

Enabling the Orders Go Directly to Printers Option

Once you have completed the requirements for this printing option, you will need to enable the option within the Outlet Setup.

  1. Navigate to the following menus.
    • Point of Sale System -> System Setup -> Setup Online Ordering Outlets
  2. Select the Outlet you wish to modify.
  3. From the Others section of the Outlet setup, check the Orders Go Directly to Printers checkbox.
  1. Click OK to save the changes.

Encore Online Ordering Queue

The Online Ordering Queue allows orders initiated online to be sent to a queue where a member of the club's staff can review the orders and send them to the Kitchen. Prior to enabling this option please ensure that the following requirements have been completed first.

Forms Setup

If the intention is to have an e-mail sent to a member of the staff to have them monitor the Online Ordering Queue, the Online Order Template will need to be configured. There is a standard template that is available in your Encore system but if you would like have a modified/customized version, please contact our Support Team and they will be happy to assist you.

Email Configuration

For both the email notifications sent to your members and your staff, the POS Email Settings will need to be configured. In order to review these settings you will need to navigate to the following menu in Encore:

  • Point of Sale -> Setups -> POS Settings

Once there, click on the tab marked Email Settings.


SMTP Settings

The SMTP Settings do not have to be added here if they have already been configured within the System Administration -> System Setups -> Global Settings -> Email Configuration. If they have not already been configured or you would like to configure specific settings for Point of Sale, review the required parameters below:

  • SMTP Server:  The address of the mail server that is sending the Online Order Notification. As Jonas does not host any type of email services for our clients, the club must provide their own mail server. Please contact the company hosting the clubs email and/or your IT representative to obtain this information. (i.e. exchange.mailserver.com)
  • SMTP Port: The outgoing mail port utilized by your SMTP server. The default port is 25
Note: If a User Nam and Password are required for access to your club's mail server, check off the box below the Password, marked SMTP server requires authentication and this will enable the following two fields:
  • User Name: Enter in the User Name if required for access to the club's mail server. Be sure to include the domain if required by the club's network.
  • Password: Enter in the Password associated with the User Name. Remember it is case sensitive.

Email Settings

The parameters configured in the Email Settings section are not specific to the Online Ordering module and will persist for any email notifications that are sent out via the POS system. The following parameters are to be filled out as follows:

  • From Email Address - The From Email Address is the sender's address that appears in the email message when received by your members. The address you list her is just who the email will be sent on behalf of, and is not necessarily the actual address the email is being sent from. However, it is still useful as a member can send a reply to this address with any questions. (i.e. info@yourclubsdomain.com)
  • Sender's Name - The name listed on the email notification of who the email is coming from. (i.e. Mystic River Club)
  • CC Email Addresses - Enter in email addresses you would like Carbon Copied on each e-mail that is sent out from POS. 
  • BCC Email Addresses - Enter in email addresses you would like to be Blind Carbon Copied on each e-mail that is sent out from POS.
  • Subject: The Subject Line of the email notification that will be sent out from POS. [May not be Online Ordering specific]

The last configurable area is the Online Ordering Form. This selection is for the emails that will be sent to internal staff regarding the Online Ordering Queue. here you can select the default form for Online Ordering or any custom versions that were modified/created by our Support Team.

Enabling the Online Ordering Queue

In order to have the orders go to the Online Ordering Queue you will need to leave the Orders Go Directly To Printers option unchecked in the General section of the Online Ordering - Outlet Setup screen.

Click on Save from the toolbar to confirm the changes.

Staff Notifications

Once the requirements have been completed and the Online Ordering Queue has been enabled, the Staff Notifications can be enabled. Click the button below for instructions on how to enable to the Staff Notifications.

Orders Go Directly to Printers

Requirements

The Online Ordering module communicates only with your club's Encore server and as such the server would be initiating the printing. The following requirements will be need need to be implemented on your club's Jonas Server in order for orders to be sent directly to the printers as they are received.

CHIT Printing

As mentioned all Online Orders are sent to your club's Jonas Server. As such the Encore server must be able to print to the available CHIT Printers. If you're not sure how to setup or having issues printing from the Encore server, please contact our Support Team in order to resolve the issue.

Windows Domain User

Once you have completed the requirements for this printing option, you will need to enable the option within the Online Ordering setup within Encore.

  1. Navigate to the following menus
    • Point of Sale System -> Setups -> Online Ordering
  2. Select the Outlet you wish to modify
  3. From the Outlet setup, check the Orders Go Directly to Printers checkbox.
