Getting Started with Contacts

After a contact has been added (automatically or manually) to this email marketing module, they must be added to a Mailing List or Segment and have a Subscribed or Soft Bounce email marketing status, in order to be a recipient of an email. 

Use these items as a guide to start adding and managing contacts in the email marketing module.

1. Add Contacts Automatically from Accounting System

Make sure that the correct information (members with specific member status, additional custom field information and flagging the correct emails (main or business)) is being exported from the accounting system to email marketing. While verifying information in the accounting system, try to get a separate email address for each member number. If members are sharing email addresses it could prevent a member from getting proper communication.

This information from the accounting system will:

• Update automatically every 24 hours (or sooner depending on the club's setup) using an export process.
• Be used to organize contacts into lists and segments to ensure the correct recipients are receiving an email.
• Be used to personalize content in an email using the merge fields option.

2. Add Contacts Manually into Email Marketing Module

To send email to contacts that do not have a member number in the accounting system. The email address can be manually added directly into the Email Marketing Module.

3. View Contacts

​Regardless if contacts have been added automatically or manually, they will be found in the Manage Contacts table. Use this table to see specific details for a contact or who belongs in a segment or mailing list.

4. Organize Contacts Using a Mailing List or Segment

​Contacts must be part of a Mailing List or Segment to receive emails that will be sent using this Email Marketing Module.

• Create Segment for Contact to be Automatically Selected as a Recipient​

5. Email Marketing Status

All contacts start off with a Subscribed email marketing status. If a contact has a Hard Bounce, Unsubscribed or Pending email marketing status, they will have to be changed back to Subscribed before receiving emails again from this Email Marketing Module.
