How to Manage Email Addresses uploaded to Email Marketing

Jonas Club Management

Jonas Club Management (JCM) allows more than one email address to be added for each member assigned to a member number. If a member doesn't want one of their emails to receive information from the email marketing module, administrators can update this for the member. This section will show where to view and edit member Email Address(es) in JCM, for them to be uploaded to the email marketing module.

To view or edit the email address(es), follow these steps:

  1. Log in to Jonas Club Management (JCM). 
  2. Find member under Club Management > Member File > Setup/Edit Members. 
  3. Email: view/edit email address. 
  4. Click envelope with plus sign icon beside email address - (Optional) this opens the Email addresses dialog box. 
    • Member can have multiple email addresses set up with their member number.
      • A different email address can be set up in each row: Main, Business, blank row/Other (this will be identified as Grid in the email marketing module).
    • EMM column
      • Determine with member if they would like emails sent to all email addresses that they have on file in the accounting system.
      • Select the checkbox beside any email address to be integrated to the Email Marketing module. 
    • Click OK button to make changes in Email Addresses dialog box.
  5. Remember to click OK to save changes in the Setup/Edit Members window.
  6. Changes do not update immediately.
    • Exports update automatically every 24 hours (or sooner depending on the club's setup). 
    • If there are any concerns that the contact information is not updating correctly or the club would like the information to update sooner, please contact web support.
  7. When the export is complete the contact information will appear in the email marketing Contacts > Manage Contacts table. The member will be found with all the field information multiple times. The email address and the emailaddresstype fields will identify the email address type associated in the accounting system for the member, Main, Business or Grid. 

CSG ClubConnect

  1. Log in to ClubConnect.
  2. In the menu bar click Options >Membership > Member Maintenance.
  3. In the Member File Maintenance window, enter the members name/number and press Enter on keyboard.
  4. E-mail Address: Edit the email address.
  5. Click Save/Add.
  6. Changes will update overnight to the email marketing module.

 

CSG ClubSelect

For ClubSelect, if a member's Filtering Criteria is set to be included, every email address listed for that member will be exported to the email marketing module.

To view or edit the email address(es), follow these steps:

  1. Log in to ClubSelect.
  2. Click Members & Dependents tab.
  3. Select the member to view/edit. 
  4. Click Edit button at the bottom. 
  5. Select Address on the left.
  6. Select the address type row.
  7. Click Edit button, this will show additional field information. 
  8. Email: Edit the email address.
  9. Click Save.
  10. Changes will update overnight to the email marketing module.
Note: If a member has an email address regardless if it is in the Home or Business address type, it will be updated to the email marketing module. If a member doesn't want emails sent to a specific email address. Login to the email marketing module and unsubscribe the email address

Encore

Encore allows more than one email address to be added for each member assigned to a member number. If a member doesn't want one of their emails to receive information from the email marketing module, administrators can update this for the member. This section will show where to view and edit member Email Address(es) in Encore, for them to be uploaded to the email marketing module.

To view or edit the email address(es), follow these steps:

  1. Log in to Encore.
  2. Find member under Accounts Receivable > Members. 
  3. Select General Tab on the left and Core Information tab on top.
  4. Email: view/edit email address. 
  5. Select Contact Info tab on left and Email Addresses tab on top (Optional).
    • Member can have multiple email addresses set up with their member number.
      • A different email address can be set up in each row: Main, Business, blank row/Other (this will be identified as Grid in the email marketing module).
    • Sync With ClubHouse Online Email Marketing Column.
      • Determine with member if they would like emails sent to all email addresses that they have on file in the accounting system.
      • Select the checkbox beside any email address to be integrated to the Email Marketing module.
  6. Click Save at the top to process changes.  
  7. Changes do not update immediately.
    • Exports update automatically every 24 hours.
    • If there are any concerns that the contact information is not updating correctly or the club would like the information to update sooner, please contact web support.
  8. When the export is complete the contact information will appear in the email marketing module Contacts > Manage Contacts table.
