Activity Management

If you make any change to the following areas you will need to synchronize the changes to update ClubHouse Online

In order to snychronize the changes to ClubHouse Online you will need to follow these steps:

  1. From the Court Booking section, click on Court Settings
  2. From the Court Settings window, select the 'Club House Online' tab.
  3. Click on the Synchronize CHO Data button
  4. Click on YES to synchronize the data
  5. Once it has been completed, click OK to acknoknowledge the synchronization is complete.
  6. Close the Court Settings window

Email Settings

These settings will allow you to configure Activity Managment to utilize your club's email server to send email notifications to your members for Court Booking.

If you have already configured the Global SMTP settings for Activity Managment, ignore the SMTP settings here and skip down to the Email Settings below. To access the Email Settings for Court Booking you will need to navigate to Court Booking -> Court Settings -> Email Settings

Note: If you are not familiar with the configuration settings for your email server, please engage your local IT team to configure the settings below.



Email Settings

The Settings you configure here will dictate the following information:

  • From Email Address - Who the email notification will be coming from.
  • Sender's Name - The Name of the person or Company's Name that will be responsible for the email notifications.
  • CC Email Addresses - If you would like to carbon-copy any email addresses on the email notification you can enter additional addresses here.
  • BCC Email Adressses - If you would like to blind-copy any email addresses on the email notification you enter additional addresses here.

Note: To enter in multple email addresses for the CC and BCC Email Addresses field, they must be seperated by a semicolon(;)

  • Email Format - Choose the format in which the email notifications will be sent. The options available are PDF, HTML and Text

Once you have configured settings here, click on the Save button. Click on the Send a Test Email button to test that your settings are correct.

Notifications

Push Notifications

Members can receive push notifications to the club's Mobile App for reservations made through the Court Reservations module. Prior to enabling Push Notifications, you will need to have a feature activated by our Web Support team. 

Email Notifications

The Email Notifications that send out for Court Reservations can be sent out by Clubhouse Online or by Activity Management. In order to have Email Notifications sent from Activity Management you will need to ensure that both Notifications and Email Settings are configured within Court Settings. You will also need to ensure that the ClubHouse Online Confirmation settings have been disabled. The Notifications section will allow you to configure when email notifications will be sent to your members as well as what templates will be used for the notifications. You will have the ability to configure notifications for New Bookings, Edited Bookings and Cancelled Boookings.

The settings that can be configured for these three types of notifcations are as follows:

  • Send Email Confirmations - The options you have to choose from are:
    • Always - When ever a new booking is created in Activity Management or Clubhouse Online, an email notification will be sent out.
    • Never - Email notifications will never be sent out regardless where the booking originated.
    • Ask - Email notifications will only be sent out for bookings completd in Activity Management if the admin answers yes to the prompt asking them to do so. For online bookings this will not display a prompt and will treat this setting the same as Always
  • Email Confirmations FormThis the template that will be used for the entire confirmation. This would have been pre-configured by your trainer. If you have questions about altering this form please contact Support.
  • Email Subject - This is what you want the subject line of your email confirmations to display.
  • Email Body Form - This is the template that will be used for just the body of the email confirmation. This would have been pre-configured by your trainer. If you have questions about altering this form pleace contact Support
  • Send Push Notification - If enabled, the member will receive a push notification to the club's mobile app on the member's mobile device. If push notifications have not been enabled for the Court Reservations module, contact our Web Support team. 

 

Encore
