JCM Outlet Scheduling

The Scheduling option within the Outlet Setup screen, allows you to configure three types of schedules for an Outlet:

  • Master Schedules - Use this schedule to dictate the typical Outlet availability. The specific opening and closing hours can be configured for each day of the week and holidays.
  • Override Schedules - Use this schedule to dictate alternate availability for a specific date range.
  • Closed Day Schedules - Use this schedule to dictate a particular date range in which the Outlet will be full closed.

Master Schedule

Adding a New Schedule

To add a new schedule for an Online Outlet, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Click on the New Schedule button.
  3. Enter in the following details for the Schedule:
    • Display Online From Date - This date signifies when the Outlet will be visible online to the members.
    • Display Online To Date - This date signifies when the Outlet will no longer be visible online to the members.
    • Scheduling Start Date - This date signifies when the Outlet will be operational and accepting Online Orders
    • Scheduling End Date - This date signifies when the Outlet will no longer be operational and will stop accepting Online Orders.
    • Description - Enter a brief description of the type of schedule this will represent.
    • Schedule Type - Select the type of Schedule you will be setting up:
      • Master Schedule - Use this schedule to dictate the typical Outlet availability. The specific opening and closing hours can be configured for each day of the week and holidays.
      • Override Schedule - Use this schedule to dictate alternate availability for a specific date range.
      • Closed Day - Use this schedule to specify days the Outlet is closed.
    • Status - This option dictates whether the associated schedule is Active or Inactive. The default state is Active.

Hours of Operation

  • Order From - The hour in which the outlet opens and accepts orders.
  • Order Until - The hour in which the outlet closes and stops accepting orders.

Check off the days of the week in which the Hours of Operation will apply. In order to setup different hours of operation for other days of the week, select the next line and choose other hours and check off the alternate days.

Delete a Schedule

To delete an existing Master Schedule, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Click on the Schedule to be deleted.
  3. Click on the Delete button.
  4. Click Yes to confirm the deletion.

Deactivating a Schedule

In order to deactivate an existing Master Schedule, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Select the Schedule to be deactivated.
  3. Change the Status to Inactive.
  4. Click Yes to confirm the deactivation.

Online Caching

Please note that any changes made to Menu Groups, Menu Group Items or Sales Items may not be immediately reflected Online as there is caching of information that lasts for approximately 30 minutes. In order have the changes made within Encore reflected on the website immediately, you will need to Refresh the Web Cache. This will force the website to make a fresh request of all the Outlet information from Encore including any changes that were recently made. In order to Refresh the Web Cache you will need to follow these steps:

  1. Log into Clubhouse Online with Administrator credentials.
  2. Navigate to the following menu:
    • Company Management -> Company Synchronization
  3. Click on the Refresh Web Cache button.

Override Schedule

To override a Master Schedule for a specific date range, you will need to configure an Override Schedule.

Ex.
The Master Schedule is configured for the following:
  • Display Online Date Range: 01/01/2020 - 12/31/2020
  • Schedule Date Range: 01/24/2020 - 10/31/2020
  • Weekday Time Range: Mon - Sun + Holidays 6am - 5pm

To setup an Override Schedule to have different Hours of Operation from May 25th - May 31st, these steps must be followed:

  1. From the Schedule screen, click on Add New Schedule
  2. Enter in 01/01/2020 in the Display Online From Date field.
  3. Enter in 12/31/2020 in the Display Online To Date field.
  4. Enter in 05/25/2020 in the Scheduling Start Date field.
  5. Enter in 05/31/2020 in the Scheduling End Date field.
  6. Enter in the Order From Hour
  7. Enter in the Order Until Hour
  8. Check off the associated days this schedule will apply to.
  9. Click on the OK button to save the changes.

Closed Day

To override a Master Schedule for a specific date or date range, you will need to configure an Closed Day Schedule.

Ex.
The Master Schedule is configured for the following:
  • Display Online Date Range: 01/01/2020 - 12/31/2020
  • Schedule Date Range: 01/24/2020 - 10/31/2020
  • Weekday Time Range: Mon - Sun + Holidays 6am - 5pm

To setup a Closed Day Schedule to have the Outlet closed on May 26th, these steps must be followed:

  1. From the Schedule screen, click on Add New Schedule
  2. Enter in 01/01/2020 in the Display Online From Date field.
  3. Enter in 12/31/2020 in the Display Online To Date field.
  4. Enter in 05/26/2020 in the Scheduling Start Date field.
  5. Enter in 05/26/2020 in the Scheduling End Date field.
  6. Enter in the Closed From Hour
  7. Enter in the Closed Until Hour
  8. Check off the Day of the week that 05/26/2020 occurs
  9. Click on the OK button to save the changes

Encore Outlet Scheduling

The Scheduling option with the Outlet Setup screen, dictates the hours of operation for a particular Outlet. This consists of two schedule options:

  • Master Schedule - Use this schedule to dictate the typical Outlet availability. The specific opening and closing hours can be configured for each day of the week and holidays.
  • Overrides/Closed Days - Use this schedule to dictate alternate availability for a specific date range or to specify days the Outlet is closed.

Master Schedule

Adding a New Schedule

To add a new schedule for an Online Outlet, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Click on the Add Schedule Range button.
  3. Enter in the following details for the Schedule:
    • Schedule Description - Enter a brief description of the type of schedule this will represent.
    • Display Online From Date - This date signifies when the Outlet will be visible online to the members.
    • Display Online To Date - This date signifies when the Outlet will no longer be visible online to the members.
    • Schedule Start Date - This date signifies when the Outlet will be operational and accepting Online Orders
    • Schedule End Date - This date signifies when the Outlet will no longer be operational and will stop accepting Online Orders.
    • Recur - If this option is checked it will allow the associated schedule to recur every year.
    • Active - This option dictates whether the associated schedule is active or not. The default state is Active.
Note: The Schedule Start and End date range must reside within the Display Online From and To Date.
Ex.
New Year's Eve discounts are offered at a club from Dec 26th to Jan 1st. The club's marketing team wishes to display this outlet early to inform their clients about the promotion. The following could be their Display Online date and Schedule date ranges:
  • Display Online date range for New Year's Eve sales promotion: Dec 1st to Jan 1st
  • Schedule date range for sales promotion: Dec 26th to Jan 1st

When clients access this outlet during the Display Online date range, they will be notified when the outlet will be available for online ordering.

  1. For each day of the week which is represented by the columns, highlight from the start time to the end time of that day
  2. Click on the Assign Schedule button at the top to add the schedule to that day.

Repeat these steps for the subsequent days of the week and once satisfied click on the close button and the Save button from the main toolbar.

Editing a Schedule

To edit an existing schedule the following steps and guidelines must be adhered to:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Select the Master Schedule line to be edited.

In order to edit the Display Online Date Range or the Schedule Date Range the Time Ranges for all days of the week must be removed first. To edit the Time Ranges of a specific day of the week, right-click on the existing Time Range and select the Delete Selected Item(s) action. To remove all the Time Ranges for a given Master Schedule, right-click on a single Time Range and select Delete All Items.

Delete a Schedule

To delete an existing Master Schedule, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Select the Master Schedule line to be deleted.
  3. Right-click on the selected Master Schedule and click on Delete Selected Item.
  4. Click the Close button
  5. Click on the Save button from the toolbar to confirm the changes.

Deactivate a Schedule

In order to deactivate an existing Master Schedule, follow these steps:

  1. Within the Outlet Setup screen, click on the Scheduling button.
  2. Select the Master Schedule line to be deactivated.
  3. Uncheck the Active checkbox at the far end of the line.
  4. Click on the Close button
  5. Click on the Save button from the toolbar to confirm the changes.

Online Caching

Overrides/Closed Days

To override a Master Schedule for a specific date range, you will need to configure an Override Schedule. The Overrides/Closed Days date range applies to both Display Online and Schedule date ranges.

Ex.
The Master Schedule is configured for the following:
  • Display Online Date Range: 01/01/2020 - 12/31/2020
  • Schedule Date Range: 01/24/2020 - 10/31/2020
  • Weekday Time Range: Mon - Sun + Holidays 6am - 5pm

To setup an Override to make the Outlet unavailable from May 25th - May 31st, the steps must be followed:

  1. From the Overrides/Closed Days Schedule screen, click on Add Schedule Range
  2. Enter in 05/25/2020 in the From Date field.
  3. Enter in 05/31/2020 in the To Date field.
  4. Leave the Weekdays Time Ranges Blank.
  5. Click on the Close button.
  6. Click on the Save button to confirm the changes.
